Reading a Proforma Invoice for a Golf Cart Battery Order – Redway Tech Talk
Buyer question / scenario

A dealer receives a proforma invoice for fifty lithium golf cart batteries. Prices look right, but the model name differs from the quote, the Incoterm is missing and a different company name appears on the bank details.

Main answer

A proforma invoice is the supplier’s formal offer in invoice form. Check ten items before you pay: the seller’s legal name, buyer details, exact model names, quantity and unit price, currency, Incoterm and named place, payment terms, lead time, validity date, and bank details. Anything that differs from the quote should be corrected in a new version before payment. Confirm any bank detail change by phone using a number you already hold.

What each part should say

  1. Parties. Seller and buyer legal names, addresses and contacts, matching the contract.
  2. Goods. Full model name, voltage and capacity, and options such as Bluetooth or CAN, written as in the quote. Redway lists options such as Bluetooth, app, 4G, GPS and CAN-bus on its golf cart pages, so list those you ordered. OEM custom orders have no MOQ by default (1 piece), although some specific products carry a 10-piece minimum, so confirm for your model.
  3. Price. Quantity, unit price, extended price, currency and any tooling or sample charges shown as separate lines.
  4. Incoterm and place. For example FOB followed by a named port. See our Incoterms article.
  5. Payment terms. Percentage, due date and trigger. Our T/T or L/C article compares the options.
  6. Lead time and validity. Production time from deposit, and the date the offer lapses.
  7. Warranty reference. Redway’s golf cart warranty is 3 years, and 5 years on the 48V 100Ah model. Make sure the proforma or contract refers to the warranty terms you agreed.
  8. Bank details. Beneficiary name should match the seller. A payment-change request sent by email is a common fraud pattern.

Before you pay the deposit

Send the draft back with any corrections marked and ask for a revised version, rather than agreeing on the phone. When the revised proforma matches the quote and the contract, sign and file it. Pay only to the account on the signed document, and keep the payment receipt together with the order file.

Risk limits

A proforma is not a contract until both parties accept it, and it usually refers to the supplier’s general terms, which you should read. It is not a customs invoice, which is issued at shipment with the final quantities. Redway’s wholesale pricing and logistics page gives background. This article is general guidance, not legal advice.

Additional perspectives

Dealer principal perspective

Keep the quote, the proforma and the order confirmation together and compare them line by line before the deposit. If a model name changes, ask in writing whether the specification changed too.

Accounts payable perspective

Never change bank details on the strength of an email. Confirm any new account by calling a number you already hold, and ask for a letter on company letterhead. Check that the account name matches the seller on the contract.

Logistics perspective

Ask that packing details (cartons, pallets, gross weight and dimensions) appear on the proforma or order confirmation. The forwarder needs them for the booking, and early agreement avoids a change in freight cost after you pay.

Specifications are taken from Redway product pages as of October 2026. Where a figure isn’t published, this article says so. Confirm current specifications for your model with Redway before ordering. This article is general guidance, not a site-specific engineering assessment.
