Fault Log Template for Rental and Resort Golf Cart Fleets – Redway Tech Talk
Buyer question / scenario

A resort runs eighty golf carts. When a cart stops, staff call the workshop with different details each time, and the manager cannot tell whether a battery, a charger or a driver caused the fault.

Main answer

Use one short log with the same fields for every fault, filled in at the cart before anything is changed. The core fields are cart and pack serial numbers, date and time, hours or mileage, what the driver saw, the battery’s displayed charge and voltage, any alarm code, charger used, ambient conditions, what was checked, and what was done. With that log, a supplier can usually say quickly whether the case looks like a pack fault, a charger fault or a use issue.

The template

  1. Who and when. Cart number, pack serial, date, time, reporter and location.
  2. Symptom. In the driver’s words: slow, stopped, cut out on a hill, would not charge, alarm shown.
  3. Readings. Displayed charge, pack voltage, alarm or error code, and temperature if shown. A photo of the display is best.
  4. Context. Load, route, weather, last charge time and the charger used.
  5. Checks made. Connections, fuses, charger swap, restart, app data export.
  6. Action and result. What was done, who did it, and whether the cart returned to service.
  7. Photos and files. Display, label and any data export attached to the entry.

Making it work

Keep the log on a phone form or a shared sheet so every shift uses the same fields. Review it weekly: repeated faults on one cart, one charger or one route point to the cause. When a claim is needed, send the entries with the pack serial; our RMA steps article lists the rest of the process. Redway’s troubleshooting page helps with first checks.

Reviewing the log

Hold a short review every month, sorting faults by cart, pack and cause. Repeated entries on the same item point to a part, a driver habit or a charging problem. Share a summary with the supplier when a pattern appears, with photos and dates, so that a warranty discussion starts from facts.

Risk limits

A log supports a decision; it does not replace the supplier’s warranty terms or inspection. Do not open a pack or force a charge to get a reading. If a pack is hot, swollen or smells, isolate it and follow your site’s safety procedure. This article is general guidance for fleet managers.

Additional perspectives

Fleet manager perspective

Start with ten fields, not thirty. A short form that staff fill in every time beats a long one they skip, and you can add fields later when a pattern shows what is missing.

Workshop lead perspective

Make the photo of the display a required step. It takes seconds, it avoids arguments about what the cart showed, and it gives the supplier something concrete.

Resort operations perspective

Share the weekly summary with the cart team: faults per hundred cart-days, top causes and carts out of service. A simple chart makes the case for charger repairs or driver training.
