A quality manager finds one pack in a delivered batch of forklift batteries with a higher self-discharge than the rest. The question is which other packs share the same cells, and whether the factory can tell in an hour or in a week.
Ask the factory to trace one finished pack backwards on the spot: from serial number to cell lot, module build date, BMS firmware version, test and burn-in record, and shipment. If it can show all five in minutes, its traceability works; if the answer is a promise to check, it does not. Agree before ordering what is recorded, how long records are kept, and what the factory will do if a lot is found suspect.
What to ask, in order
- Serial number scheme. What does the pack serial encode, and is it on the pack, the BMS and the shipping documents? Redway’s golf cart specification tables list silkscreen, label and laser logo options, so marking is available; ask what your forklift packs carry.
- Cell lot. Which cell lots went into this pack? Redway’s About page describes Grade-A cells (CATL, EVE); ask for the lot record for the cells in your batch.
- BMS version. Firmware and parameter set at shipment, and who approved any change.
- Test records. Capacity, insulation and function results for each serial number, plus the burn-in test record; Redway runs a burn-in test before shipment.
- Shipment link. Which order, container and date the pack left in.
- Retention. How many years records are kept, and in what form.
Prove it with a mock recall
ISO 9001:2015 clause 8.5.2 calls for unique identification and retained records where traceability is a requirement. A simple test: pick a serial number from your shipment, and ask the factory to list every other pack that shares its cell lot. The time taken and the completeness of the list show how well the system works. The factory operates under ISO 9001/14001 management systems, and the certificate is available on request.
Putting it into the contract
Write the traceability requirements into the purchase agreement: the data fields recorded for each serial number, the retention period, the time allowed to respond to a request and the actions if a lot is suspect. Agreeing these terms early turns traceability from a verbal promise into an obligation that both sides can measure.
Risk limits
Traceability limits the cost of a problem; it does not prevent one. Records are only as good as the people filling them in, so check a sample against physical packs. Put the retention period and the factory’s response duty in the contract. This article is general guidance, and the manufacturing quality control page gives more context.
Additional perspectives
Run the mock recall during the first audit and write the result into the supplier file. Re-run it once a year with a different serial number, because a system that worked in the first year can slip when staff change.
Redway Tech Editorial Team – Quality manager perspective
Ask for a contract clause that names the records the factory must keep and the number of years, and one that says the factory will give you the lot list within an agreed number of working days of a request.
Redway Tech Editorial Team – Procurement perspective
When a field fault occurs, record the pack serial, truck hours, charger model and any BMS fault code. A good service record is what lets a factory link your pack to a lot and decide quickly whether it is isolated or systemic.
