Create a compliance matrix covering destination markets, product standards, transport, labeling, technical files and customer-specific requirements. Identify which evidence comes from the cell, module, pack, charger or complete system and confirm the issuing laboratory and certificate scope. A logo or certificate title is not enough when the model, ratings, factory or tested configuration differs from the product being purchased.

Audit the process that produces the approved design

Review incoming inspection, cell matching, traceability, assembly controls, torque, insulation, firmware loading, calibration and end-of-line testing. Sample records across several lots and follow one serial number from components to shipment. Capacity claims should match real equipment, staffing and yield data. A polished sample does not prove that volume production will repeat its materials, workmanship or measured performance.

Control changes through documented approval

Require advance notice for cell, BMS, firmware, connector, enclosure, process and factory changes. The supplier should state the reason, risk, affected inventory, compliance impact and proposed validation. Compare samples with the golden unit and repeat tests influenced by the change. Written approval prevents supply pressure from silently creating a different battery under the same part number.

Design logistics around dangerous-goods obligations

Packaging, state of charge, terminals, documentation, carrier acceptance, route and emergency information must match chemistry, energy and transport mode. Confirm who prepares declarations, labels and test summaries and who owns delays or rejected shipments. Include customs, duties, storage limits and local delivery in landed cost. A low factory price can disappear when the shipment is not compliant or serviceable.

Make warranty response measurable

Define warranty start, covered duty, exclusions, data required for claims, response time, replacement route, failure analysis and corrective-action reporting. Hold compatible spares and control revisions so replacements work with installed equipment. Review return rates by serial, lot and site. Warranty language creates value only when the supplier can diagnose failures, ship approved replacements and prevent recurrence.

Keep the final decision traceable

Store the approved configuration, evidence, exceptions and responsible owners together. Link later alarms, claims, changes and corrective actions to the same record. A traceable history makes reviews faster and prevents an old assumption from being treated as a current requirement.

Set a review interval and trigger an immediate review after a serious fault, repeated complaint, supplier change or new destination market. Confirm that documents and field procedures still describe the product that is actually installed and shipped.

Verify the complete workflow, not one component

Test interfaces between people, documents, hardware and software. Confirm that limits, labels, records, communication and service steps remain correct through normal duty and credible exceptions.

Close every open item with an owner, due date and acceptance method. Unverified assumptions should remain visible until evidence resolves them rather than being converted into silent approval.
